I've had customers tell me they can't sleep the night before placing a first order with a new Chinese CNC shop. They're sending thousands of dollars to someone they've never met, in a country they may never have done business with, for parts their project depends on. And they can't fly over for a factory visit every time.

I get it. I run a CNC shop in Dongguan. I've also been on the other side — years ago I sourced parts from shops I'd never visited. Here's what I learned about verifying a supplier remotely, from both sides of the table.

The good news: you can verify a lot without ever setting foot in China. The bad news: most buyers don't do it. They check the website looks professional, compare three quotes, and hope. That's gambling, not verification.

What follows are methods I've seen catch bad suppliers and methods that give buyers real confidence before wiring a deposit.

Start with the business license

Every legitimate manufacturing company in China has a business license (营业执照) registered with the local Administration for Market Regulation. It's public record. If a supplier won't show you theirs, that's your first filter — and the conversation ends there.

Ask for a copy and check three things:

Registration date. A shop registered in 2016 has survived a decade. One registered last year might be fine, but you're taking on more uncertainty about whether they'll still be around when your next order comes up.

Registered capital. Not the same as revenue, but ¥5,000,000+ usually means a more established operation than ¥500,000.

Business scope (经营范围). You want "生产" (manufacturing/production), not just "销售" (sales/trading). A scope that says "销售: 机械零部件" means trading company, not factory. Trading companies aren't necessarily bad, but they should tell you that. Claiming to be a manufacturer when the license says otherwise poisons everything else they tell you.

You can independently verify the license on the National Enterprise Credit Information Publicity System at gsxt.gov.cn. The site is Chinese-only, but browser translation gets you through. Enter the company name and check the details match. If they don't, that conversation is over.

Equipment photos: make them prove it

Every CNC shop website shows 5-axis machines and clean inspection rooms. Half those photos aren't from their facility.

Ask for equipment photos with your company name and the date written on paper, held in front of each machine. Any shop that's done export work has been asked this before. If they push back or make excuses, that tells you what you need to know.

What to look for in the photos:

Ask how many of each machine type they run. A shop claiming production capacity with one VMC is either lying or about to outsource your job.

The video tour: 15 minutes tells you more than weeks of email

A live video walkthrough during working hours is the highest-signal check you can do remotely. WeChat is standard in China, WhatsApp works too.

What to look for:

Are machines running? A quiet shop during business hours is a red flag. You want spindles turning, chips flying.

What parts are on the machines? If they claim aerospace work but every part you see is a simple bracket, something's off. The work visible on the floor right now is the best indicator of what they actually do day to day.

The QC room. Ask them to walk into the inspection room. Look at what's being measured. Ask to see a real inspection report — filled out for an actual part, with measured values, not a blank template with pass/fail checkmarks.

Raw material stock. A shop doing real production keeps bar stock, plate, and common grades on the shelf. An empty rack means they buy material job by job, which adds lead time.

Worker count. Rough headcount on the floor. A 3-person operation isn't handling your 500-piece monthly order.

After the call, compare what you saw against what they claimed in their introduction. If the "50-employee ISO 9001 facility" had eight people and a messy floor, file that discrepancy away.

Sample orders: verification that pays for itself

Order 5-10 pieces of a part you know well — something you've made before and have reference data for.

What to check:

Dimensionals. Measure every tolerance callout on the drawing. A shop that hits ±0.05mm on easy features but blows ±0.1mm on the tricky ones is showing you their real capability.

Surface finish. If you called out Ra 1.6μm and got something closer to 3.2μm, ask why. Sometimes there's a valid metallurgical reason. Sometimes they just didn't try.

Deburring and edge breaks. Good shops deburr thoroughly and break edges consistently. Average shops leave sharp corners. This is where the difference shows up most reliably.

Packaging. Parts scratched because someone threw them loose in a box tells you about process control beyond the machine shop floor.

Documentation. Did you get an inspection report? Material certs? Packing list? A shop that can't produce basic docs for samples won't produce them for production.

A sample order costs money, but it's the cheapest insurance available against a bad production run. I've watched $300 in sample parts prevent $15,000 in bad production parts.

Check certifications — actually check them

ISO 9001 is table stakes for export CNC machining. But a certificate image on a website means nothing. Certs get photoshopped, expired, or issued by unrecognized bodies.

Ask for the certificate number, issuing body (SGS, TUV, Bureau Veritas, DNV), and expiry date. Then verify on the certifier's website. Every legitimate certification body has an online verification tool. Can't find it there? The cert isn't real.

For AS9100, verification matters even more. The audit requirements are stricter and the stakes higher. For ISO 13485, verify the scope covers machining, not just distribution.

One important nuance: certification means the quality system passed an audit. It doesn't mean every part ships perfect. I've seen ISO 9001 shops produce junk and non-certified shops do excellent work. The cert is one data point.

Reference calls: most buyers skip them

Ask for three customer references in your industry or a related one — where the shop made parts similar to yours in similar quantities. Then actually call or email them.

Questions worth asking:

"How did they handle quality issues" tells you more than "did you have quality issues." Every shop makes mistakes. The difference is whether they catch them, tell you about them, and fix them — or ship them and hope you don't notice.

Red flags worth walking away over

Third-party inspection: when it earns its cost

For first production orders above $5,000, or any order where a quality failure would be catastrophic, consider a third-party inspection. SGS, Bureau Veritas, and TUV all offer factory audit ($500-800) and pre-shipment inspection ($300-500/day) services across China's manufacturing regions.

For a $20,000 production order, a $500 inspection is cheap insurance. It won't catch everything, but it adds a verification layer you can't get through a screen. I recommend it to first-time buyers placing production quantities.

Bottom line

Remote verification isn't perfect. A determined fraud could slip through most of these checks temporarily. But real shops doing real export work pass all of them without breaking a sweat — because they're not hiding anything.

Most horror stories about Chinese CNC suppliers share the same root cause: the buyer skipped verification. They trusted the website, liked the salesperson, liked the price. They wired money and crossed their fingers.

Don't cross your fingers. Spend two hours on verification. A legitimate shop will respect you for it — it signals you're a serious buyer who cares about quality, and that's the customer every good shop wants.
